Step 1: Demo & Needs Assessment
Before anything is set up, your current workflow is mapped against the software's modules — this is where mismatches get caught early, not after go-live.
Step 2: Data Setup & Migration
Existing donor records, inventory, and register data are migrated in. This is usually the longest step, and its length depends mostly on how much historical data exists and how it's currently stored (digital spreadsheet vs handwritten register).
Step 3: Staff Training
Hands-on training for technicians and administrative staff — most teams are comfortable with day-to-day use within days, since the workflows mirror what they already do, just digitised.
Step 4: Go Live
You go live with support on call. A good implementation plan keeps the old register accessible as a reference for the first short stretch, purely as a safety net while staff build confidence.
Realistic Timeline
Most blood banks are fully operational within one to two weeks of starting. Larger multi-branch networks with more historical data take longer for the migration step specifically.
